Today, I'm sharing mini-system 2 of 4: The Two-Project System, which has changed how I maintain high performance at work while actually being present at home.

3 Steps to Master the Two-Project System (Even if You're Drowning in Tasks)

Remember last week when we talked about capturing everything that crosses your mind? Now you might be wondering, "Keith, I'm capturing everything, but my inbox is overwhelming!" Here's how to fix that.

1. Start With the Two-Project Foundation

First, In Todoist, create just two main projects:

  • Work

  • Personal

This isn't oversimplifying – it's strategic elimination of decision fatigue. When a new task comes in, you only have to make one decision: work or personal? That's it.

2. Create Intuitive Sections

Within each project, create sections that match your natural workflow. For work, this might be "To Review" or "Team." For personal, think "Home" or "Finances."

Here's a new power tip: Use hashtags (#work or #personal) when capturing tasks to automatically file them into the right project. This simple technique will save you hours of organization time.

3. Master Nested Projects

For anything requiring two or more steps, create a nested project underneath your main categories. Keep it alphabetized for easy reference. For instance, under "Work," you might have:

  • Q1 Sales Strategy

  • Team Offsite

  • Territory Planning
